How does the notetaker work? Do clients see it?

Connect Google or Microsoft Calendar and the Said & Done Notetaker is scheduled for eligible future video meetings. It joins as a visible, named participant, records the meeting, and creates a speaker-attributed transcript. Meeting hosts can deny admission or remove it at any time.

Can we stop the notetaker from recording a meeting?

Yes. The host can deny admission or remove the visible notetaker to stop further recording. Disconnecting a calendar removes its future scheduled notetakers. Media captured before removal may remain available during the one-year retention window, and transcript upload is always available as an alternative.

Are recordings available after the meeting?

Yes. Authorized users can replay a native notetaker recording for up to one year and follow the transcript word by word. Active meeting-summary share links can also provide recording playback to their intended recipients.

What does the Gmail connection do?

Said & Done requests read-only access to message content and settings and searches recent and ongoing mail for known client contacts and domains. Candidate content is processed by your selected AI provider, but the message is retained only when it produces client-delivery value such as a request, action item, completion, risk, decision, or material event. Rejected messages keep only opaque Gmail IDs for deduplication—not their subject, sender, snippet, labels, or body. Said & Done cannot send, edit, or delete email in Gmail, does not sell Google data, and does not use it for advertising or generalized AI-model training.

Which AI models does it use?

Your choice. Use a supported provider such as Anthropic Claude, OpenAI, Google Gemini, Mistral, DeepSeek, Groq, and others. You bring the credential and pay that provider directly for model usage. Provider credentials are encrypted at rest and used only for your account’s processing.

What is included in the $99 Founder plan?

The monthly Founder plan includes up to 3 internal workspace users, including the owner, plus 20 native notetaker hours, 5 GB of walkthrough storage, one optional 45-minute onboarding session, and founder support with a response within one business day, Monday through Friday. Usage quotas are shared across the workspace, not multiplied per user. You can sign up and start self-serve with no sales call. If you need additional notetaker or storage use, we will discuss it and get your approval first.

Is our client data safe?

OAuth tokens, API keys, and similar credentials stored by Said & Done are encrypted, and the service uses scoped access controls and separate internal and client-portal paths. Calendar access is read-only; Recall.ai receives and manages the Calendar credential to sync events and schedule the notetaker. No system is risk-free, so Said & Done also limits share access and supports revocation and integration disconnects.

What do clients actually see in the portal?

Invited contacts see content that is published for their audience, including relevant meeting summaries and insights, assigned action items, reports, confirmed timeline events, and billing-cycle progress. Full transcripts and raw AI output are not exposed through the client portal.
