Publish and share without exposing internal evidence

Portal access and share links are deliberate delivery mechanisms. Neither one automatically exposes everything attached to a client.

Portal members versus team members

A portal member is an external client contact with access only to eligible material published for that client and audience. A workspace team member is an internal agency user. Inviting one does not grant the other kind of access.

Invite a portal contact

  1. Open the client’s Portal tab.
  2. Select an existing client contact or enter the intended recipient carefully.
  3. Choose the appropriate portal role and send the invitation.
  4. Revoke stale or incorrect invitations rather than sharing the invite link broadly.

Publish deliberately

  • Meeting summaries require a generated summary; full transcripts are not portal content.
  • Reports must be in a published state before portal viewers can open them.
  • Timeline events must be confirmed; pending and discarded events remain internal.
  • Dismissed action items are not portal-visible.
  • Audience controls can narrow visibility to all client members, a contact, or an allowed role.

Share links

Use a resource-specific share when the recipient needs one approved meeting, report, or walkthrough without ongoing portal membership. Revoke the share when the intended access should end.

Always preview the client-visible result. Publishing approval does not replace the need to inspect the actual audience and content.
